Administrative Assistant - Praise & Worship


Job Overview
The Administrative Assistant supports the operational and organizational needs of the Praise & Worship Department by ensuring effective coordination of schedules, communications, and resources. This role provides reliable day-to-day administrative and logistical support to the Praise & Worship Manager, helping maintain smooth execution of services, rehearsals, and special events.

The ideal candidate is detail-oriented, proactive, and able to anticipate needs in a fast-paced ministry environment, particularly during times when leadership is actively serving in worship. This position plays a key role in maintaining structure, clear communication, and operational excellence across the department and the altar. 


Essential Duties and Responsibilities
  • Manage the Praise & Worship Manager’s calendar, including scheduling appointments and coordinating meetings
  • Prepare meeting agendas, record minutes, and track action items and follow-ups
  • Maintain accurate and organized department records, contracts, files, and documentation
  • Oversee and maintain digital systems (e.g., Planning Center, shared drives, music libraries), ensuring accuracy and accessibility
  • Provide administrative and logistical support for weekly services, rehearsals, conferences, recordings, and special events
  • Coordinate cross-functional logistics with Production, Missions, and Church Administration to ensure seamless execution
  • Support worship leadership during services and rehearsals by ensuring all administrative and operational needs are met
  • Provide administrative support for album production or recording sessions, as needed
  • Draft and distribute professional emails, memos, and internal communications
  • Ensure clarity, accuracy, and timely follow-through on departmental instructions and updates
  • Maintain and track inventory of instruments, equipment, and supplies; coordinate repairs and maintenance as needed
  • Maintain an organized, functional, and professional worship office environment
  • Assist with Planning Center (PCO) updates, including service details, team scheduling, and lyrics management
  • Anticipate and proactively support the needs of the Praise & Worship Manager to ensure uninterrupted ministry flow
  • Other duties may be assigned
  • May require traveling

  • Highly organized with strong attention to detail
  • Strong time management and ability to prioritize tasks
  • Ability to handle multiple tasks in a fast-paced environment
  • Excellent verbal and written communication skills 
  • Team-oriented with strong interpersonal skills
  • Self-motivated team player with excellent problem solving skills and proven dependability
  • Adaptability and Flexibility
  • Highly proficient in Microsoft Office, MondayOS, Google applications  and other relevant software's
  • Fully bilingual (English & Spanish)


Education and/or Experience Requirements
  • High school diploma required; associate’s or bachelor’s degree in Business, Administration, or related field preferred
  • 2 years of administrative, office, or customer service experience (church or volunteer experience acceptable)
